Changing A Key Field How to change the data in a Key Field without creating a new record. For example in a Patient Record Cathy Smith has married and her new name is Cathy Jones. Another example is changing the code structure in the Insurance Plan File INS field from numbers to letters. Problem: The data in a Key Field needs to be changed without creating a new record. Cause: Customer need. Solution: Remove the record, change the data and then save the record. Keystrokes: From the record in question: Press <Alt+R> to remove the record. Answer "Y" when asked if you really want to destroy this record. The record is still present. Change the data in the Key Field. Press <F2> to save the record with the new data. Notes: The record is not removed from the database until you leave the record by pressing <F6>, <F5>, <F9>, or you quit the database while the record is showing. When you do this you will be asked if it is OK to leave the record without saving it. Changing the data in a Key Field and then saving it will create a new record with all of the same data in the new record – except the key field. The above steps will prevent a duplicate record from being created. NOTE: Changing a Last Name in a Patient Ledger does not update the records in such files as "Archive.vfm", "Transact.vfm", "Collect.vfm", "Auth.vfm" or "Collect.vfm".
