Prevent non-managers from changing data

Some practices will want to prevent users from changing data on the Ledger, from removing lines on the Ledger or removing a Ledger record. Three files and a modification to Automatic Checking and Filling are needed to accomplish this goal.

The files are located at "support\custom_goodies\security" in a file called "security.zip". The three files are :

Dellines.leg

Delform.leg

Chgitem.leg

Put these files on a diskette along with the following directions and send them to the customer.

Installing the security files

From the DOS prompt (with the above disk in drive "A") type:

Copy a:*.* Z:\xx\procs

Where "Z" is the drive letter where VersaForm is located.

Where "xx" is the name of your VersaForm directory

For example "copy a:*.* c:\vf\procs" will copy the files from the "A" drive onto drive "C" in the "VF\procs" sub-directory.

Installing the Procedures in the Ledger

Start VersaForm

From the MD VersaForm Main Menu select item #6 - VersaForm XL Main Menu, press <Enter>

Select #8 – "Enter or Change Procedures and press <Enter>

If the drive and path is not correct, type in the correct information. Press <Enter>

When asked for a file name type "ledger.vfm" and press <Enter>

At a blank "Procedure Instructions" screen enter the following:

Press <F2> to save and compile the procedure.

Press <F9> to get a clear screen.

At a blank "Procedure Instructions" screen enter the following:

Press <F2> to save and compile the procedure.

Press <F9> to get a clear screen.

At a blank "Procedure Instructions" screen enter the following:

Press <F2> to save and compile the procedure.

Press <Alt+X> to return to the menu system

Change Checking and Filling to prevent deletions and changes

You must be logged in as "manager" to do the next steps.

 From the VersaForm XL Main Menu select #1 – "Form Design" and press <Enter>

From the Form Design Menu select item #4." Add or Change Checking and Automatic Filling"

If the drive and path is not correct, type in the correct information. Press <Enter>

When asked for a file name type "ledger.vfm" and press <Enter>

You will see the Ledger with many of the fields filled with "***". Press "Q"

When asked – "Do you want to prevent form deletions and column line changes? (Y/N) N" answer "Y" and press <Enter>

When asked – "Is this file to be protected? (Y/N) N" answer "N" and press <Enter>.

Follow the menu prompts back to the Ledger.

Your ledger files are now protected from changes and deletions. When any user tries to remove or change a line item or a form a message stating that this cannot be done will appear. Demographic information can be changed and saved.

Changing information when logged in as manager

To change information on the Ledger lines or to remove ledger lines or remove a ledger you must be logged in as "manager". Any other user who attempts to use the following procedures will be told that the activity is not allowed.

Locate the patient record you need to modify or remove.

Press <Alt+F1> for the Procedue (F1) Menu

Select item #10 "Choose Other VersaForm Procedures"

At the question mark type –

"changeitem" to change a ledger line item.

"deleteform" to remove the form

"deletelines" to remove lines.

Follow the prompts for each procedure.
