Rebuilding a Ledger In the process of file recovery a Ledger record may be lost. Power surges, network errors and other events can also cause a Ledger record to be lost. There are several methods of recoverying the data: Restore the "Ledger.vfm" file from a back-up. Be sure to restore to a different directory or name. Use the Copy One Procedure to copy the record from the back-up into the active file. Check the Archive to see if the demograpic information can be retrieved: From Ledger press <Alt+F1> to get the Ledger Procedure Menu Take item #6 "File Maintenance, Account Aging" to get the File Maintenance Menu From this Menu take #1 Archive Menu From this Menu take #6 "Retrieve a Ledger from Archive". Follow the on-screen directions to locate and retrieve your record. Check the Claims file (claims.vfm) and the Payment History (payhist.vfm) file to fill in the charges and payments/adjustments. Use the Copy One Procedure to copy what information you can from the Claims file (claims.vfm). From Ledger press <F9> to have a blank Ledger. Press <F10> to get the File List Menu and take the second choice "insurance claim file". Locate your patient using <F4> Once you have your patient's record in view press <Alt+F10> and return to the Ledger. At the Ledger press <Alt+F1>. From the the Ledger Procedure Menu select "Choose other Versaform Procedures" and press <Enter> A "?" will appear at the bottom of the screen – type <copyone> and press <Enter>. Follow the on-screen directions to copy the data from the Claims file to the Ledger file. Look at other claims for this patient to see other charges and dates. From the Ledger press <Alt+F10> and choose "Open another file". When asked for the drive and path press <Enter> or type the correct drive and path and press <Enter> When asked for the file name type "payhist.vfm" and press <Enter> Use the <F4> method to locate your patients payment and adjustment record. Press <F8> and "N" to print the record to paper. You can now use this printout to enter the payments and adjustments on the Ledger. Press <Alt+X> to return to the File List Menu If you loose records on a regular or frequent basis call Technical Support. |
