Setting up a Fee Schedule system

Problem: Customer desires to organize a system of fee schedules for the practice.

Cause: Customer preference.

Solution: Set-up the various fee schedules in the Procedures files. In the Insurance Plan file place the appropriate fee schedule in the "Fee_Schedule" field. This code will be filled in the Patient Ledger "FeeSch" field when the insurance code is placed in the "InsX" field. You can override this entry if you wish.

Keystrokes: From the MD VersaForm Main Menu:

Select item #4 "Setting Up MD VersaForm" and press <Enter>

From this menu select item #1 "Enter Procedure Codes and Charges", then press <Enter>

Use <F4> or the <F6> keys to locate the procedure(s) for which there will be multiple fee schedules.

On the first line enter the charge amount but DO NOT enter a fee schedule. This line will be used if the patient ledger has no fee schedule or the fee schedule code is not listed on the procedure code record. Press <F1> to validate.

On the second line enter the code for your first fee schedule in the "Sch" field. Enter the charge and other information as needed. Press <F1> to validate the information.

On the third line enter the code for your second fee schedule as well as the other information needed for that code. Press <F1> to validate.

Press <F2> to save the record.

Repeat this process for each fee schedule you will be using.

Follow the above steps for each procedure that will have more than one fee schedule.

When done press <Esc>, <Q> to return to the Installation Menu.

Once the fee schedules have been entered in the Procedure file you will need to enter the appropriate code in the Insurance Plan File.

To enter the fee schedule code in the Insurance Plan file follow these steps from the MD VersaForm Main Menu:

From the Installation Menu select #4 "Enter Insurance Plans" and press <Enter>

Locate the insurance plan you want to modify by using the <F4> key or pressing <F6>.

Once you have located the plan, place the cursor in the "Fee_Schedule" field.

Type in the code for the fee schedule (must be on at least one procedure record) and press <F2> to save the record. This information will be put in the "FeeSch" field of the Patient Ledger when you enter the insurance plan code in the "Ins1" field of the Patient Ledger.

Follow these steps for each insurance plan.

NOTE: You may want to have more than one copy of a specific insurance company record - one for each fee schedule.

When done press <Esc>, <Q> to return to the Installation Menu.

To have the system use the specific fee schedule from the Ledger follow these steps:

From the "Installation Menu" press <Esc> to return to the MD VersaForm Main Menu.

Select #1 "Patient Ledger" and press <Enter>

Locate the patient by using <Alt+L> from the "Lname" field to get pick list or  <F4> key to print up the index or pressing <F6> until the patient is located.

If the "INS1" field is already filled in, overtype one character. If it is empty enter the information (or press <Alt+L> to get the pick list). Now Validate by pressing <F1>.

The "FeeSch" field will be filled in automatically from the Insurance Plan File.

Press <F2> to save the record.

You can override or change the "FeeSch" field at any time.

Notes: When entering the insurance carrier in the "Ins1" field of the Patient Ledger the system will automatically insert the fee schedule from the "Fee_Schedule" field of the "Insurance Plan" file into the "FeeSch" field of the Patient Ledger. If there is already an entry in the "FeeSch" field the user will be asked if the system should put the data from the Insurance Plan file into this field. The user can override or change the data in the "FeeSch" field at will.

If there is no entry in the "FeeSch" field of the Patient Ledger the system will take the first line of the procedure code for the information to be entered for charges, etc.
